1. This mechanism is for purchases of consumable office supplies less than $100.
2. The purchaser buys the item and submits their receipt to the internal accounting department.
3. The internal accounting department
prepares the petty cash voucher, enters into PeachTree,
and obtains signature from
individual who incurred the expense. Document is then routed to
PI of the account for signature,
and copies are made for files.
4. Department the document was initiated to encumbers funds.
5. If the petty cash voucher is being
charged to a 26 account, it is routed to Contracts and
Grants and will call the
originating department when the document is ready to be picked up.
The document is hand carried
directly to Bursar's.
6. All accounts other than 26 accounts
are hand carried directly to Bursar's. Bursar's keeps the
petty cash voucher and submits
cash for the amount of the voucher and a receipt to the
individual hand carrying
the document.
8. The internal accounting department
gives the money to the purchaser and obtains signature
on copy of petty cash voucher
to confirm individual received reimbursement.
9. The receipt submitted by Bursar's
is attached to department copy of the petty cash voucher
and the file is closed.
