Welcome Program Opening Session (synchronous session)

9 a.m. - 10:30 a.m.
Join us for an engaging, virtual seminar where participants will learn more about the University’s mission, listen to the voices of our student body, and get insight on UTEP’s path to becoming a national model University by serving the Paso del Notre region. The program will commence with welcome remarks from President Heather Wilson and Provost John Wiebe. This session will be held synchronously with the opportunity for faculty to engage with presenters via a virtual setting.

New Instructor Workshop
Recorded Session
This workshop will offer new UTEP faculty essential tools, resources, and guidance on how to provide top-quality instruction to UTEP students. The topics include best practices of online course delivery, teaching at a minority-serving institution, balancing teaching and research, enhancing learning with instructional technologies, and community engaged learning. The workshop will be asynchronous; all content will be pre-recorded.

Informational Session with Office of Research and Sponsored Projects (synchronous session)

This session will provide an opportunity for new faculty to connect with colleagues from the Office of Research and Sponsored Projects to inquire on any questions regarding contracts and grants management, cross-institutional transfer of funding, and the grants submission process.
Human Resources Processing
Before your arrival on campus, you should complete the documents in your new hire packet and return them to the Office of Human Resources (HR).
Within three working days of your hire date, you must deliver appropriate documentation to HR to complete the Federal I-9 form (see the reverse side of the form for examples of such documentation). Documentation can also be sent via e-mail in a password-protected attached document. The password should be sent in a separate email. HR will also assist with any visa-related questions. Faculty Computer Policy
A. Full-Time Tenure-Track, and Tenured Faculty Members
New laptops will be provided by the University to newComputers issued to these faculty members become the property of the hiring department, except in cases where the faculty member leaves UTEP within three years of his/her hire date. In these cases, the computer must be returned to Technology Support for repair, re-imaging, and re-distribution.
Standard computer packages will be provided to incoming new Tenure/Tenure Track faculty at no cost to the hiring department up to a maximum of $1,500. Additional enhancements or add-ons to the standard computer package in excess of the $1,500, will be covered by the faculty member’s respective department.
If damage occurs to the equipment the faculty member will be responsible for bringing the equipment to Technology Support for assessment of damages. Damages will be repaired if the equipment is still under warranty, which may require shipment to the manufacturer. If laptop damage is beyond repair, the laptop will be replaced only if covered by the warranty. If
B. Full-Time Non-Tenure-Track Faculty Members
All new non-tenure-track faculty members, appointed to at least 50% time are eligible for a laptop through the Laptop Check-out Program facilitated by Technology Support (unless a hiring department wishes to provide a computer at its own cost). Whenever a non-tenure-track individual leaves UTEP, his/her computer must be returned to the laptop pool, for repair, re-imaging, and re-distribution. If a non-tenure-track faculty member converts to a tenure-track position, they have the option of keeping their laptop or returning it for a newer desktop or laptop computer package.
Computers issued to non-tenure-track faculty members remain the property of Technology Support.
Part-time faculty members appointed to less than 50% time are not eligible for this Program. These faculty members should contact their departmental Technology Implementation Manager to make plans for use of equipment, on a case-by-case basis.
Parking and Transportation
Purchasing a Parking Permit
Once your appointment has been processed and your employment credentials have been created, you will be able to purchase a parking permit. To do so, visit Parking and Transportation Services or go to
Temporary Parking Passes
If you need to be on campus and don't have a permanent parking pass, you can get a day pass at the guard booth located at University Avenue and Sunbowl Drive, across from the Campus Store. To secure a complimentary 30-day parking permit, present a copy of your offer letter to Parking and Transportation Services. Parking citations can be paid or appealed by contacting Parking and Transportation Services.

Research Start Up Funding
Start-up funds are defined as funds that are committed to a select group of new faculty members at the point of hiring. These funds are meant to assist in obtaining necessary research equipment and/or instrumentation, laboratory supplies, and other items required to initiate a competitive research/scholarly activity that will generate externally funded grants and/or contracts. While these financial resources may be helpful in the development of a new research facility, new faculty members must ensure to abide by the specified policies and procedures.
Before start-up account information can be released, the Office of Research and Sponsored Projects (ORSP) Research Administrator (RA) assigned to your college will be contacting you prior to your arrival on campus. If this is not possible, they will contact you shortly after you arrive on campus.
Your RA will help you prepare a budget summary and a research plan, using the prescribed templates below. Both of these documents will be forwarded, by the RA, to your Department Chair and Dean for review and approval. Once the Dean has approved, your RA will secure approval from the Provost and VP for Research.
Upon approval, your CAO will forward you your start-up account information to begin making use of the funds. The links below provide helpful documentation that will explain start-up procedures along with specific constraints surrounding these funds and the responsibilities that need to be met.

Research
The Office of Research and Sponsored Projects (ORSP) provides support at various stages of the proposal development process. The Proposal Development Team (DevT) and Research Administrators (RA) will collaborate with you to submit a competitive proposal. The DevT can provide assistance with matching to funding opportunities, proposal planning and development, proposal reviews and addressing reviewers’ comments. The RA's can provide help with reviewing RFA/RFP guidelines and restrictions, budget drafts, finalizing a budget and submitting a proposal. You will need to request official transcripts from each institution where you earned a degree and have them sent directly to your Department Chair or the hiring official for your program. These need to be issued to the university, rather than to you. In addition, please provide an updated version of your CV and any relevant documentation of licensures or certificates related to your area of teaching.

Once you arrive at UTEP, you will receive training in how to complete your personal file in Digital Measures, so that you can create your faculty profile.
Faculty Computer
A New Faculty Technology Orientation is held the week prior to the beginning of classes. During this orientation, you will receive your new faculty computer and information about other technology services available to you.
Email Account
Your email account will be generated once your new hire packet is submitted and fully processed by Human Resources (HR). If you need access prior to coming to campus, your departmental administrative support staff or CAO will work with HR to process a request to grant pre-employment start date access to University resources, including email access.

Once your new hire packet has been submitted and fully processed by Human Resources, you can access computers and online services on campus using your login credentials.

Start a service request
Your departmental administrative support staff or CAO will contact the Technology Support Help Desk to have a telephone extension assigned to you. You personally have to set up your password-protected voicemail box due to security requirements. For questions with your telephone, including voicemail, contact the Technology Support Help Desk at helpdesk@utep.edu, extension 4357 (HELP), or 915-747-5257.
Yes, you can opt out of the UTEP directory. To do so, contact Human Resources by emailing directory@utep.edu. Your department's main office number will still be published so that other faculty, staff, and students can reach you by phone.
Digital Measures (DM) is an Internet-based information management system specifically designed to help faculty members record their professional accomplishments in a single location. Visit the DM website to learn more.

The academic year begins in late August and ends in early May. You will receive your first paycheck on October 1 and your last paycheck for the academic year on June 1.

Contact your CAO as soon as possible so that the Purchasing and General Services Department can work directly with you in securing a moving company. This will eliminate or significantly reduce any out-of-pocket expenses.
If you do incur out-of-pocket expenses, submit all original receipts to your departmental administrative support staff or your CAO. Your CAO will submit a reimbursement request to the Provost's Office, for processing by Payroll. Once your request has been received by the Payroll Office, you should receive your reimbursement in your next paycheck, as long as you are appointed in PeopleSoft. Please contact your CAO for appointment confirmation.
