Clearing for Graduation in the College of Science
Graduation is an exciting time full of celebration and opportunity. The College of Science is dedicated to ensuring the graduation process is as stress-free as possible.
A few things to remember:
What is the difference between graduation and commencement?
Graduation refers to the process of having your degree awarded. Graduation does not automatically happen when you are done taking all the courses you need for your degree. You must apply to graduate. An audit of your transcript and degree plan takes place when you apply, and then again after final grades are posted which happens after commencement. Keep this in mind as you follow the process of applying for graduation.
Commencement refers to the ceremony that takes place twice a year: in May and in December.
Your diploma is not given to you at the Commencement ceremony.
Because your diploma is not given to you at commencement, you can participate in the ceremony without having actually graduated.
If you are walking in the Spring Commencement but still taking courses in the Summer to finish your degree, you are graduating in the Summer and not in Spring. This distinction is important.
You can only walk in the Spring Commencement as a Summer graduate if you are taking no more than 6 hours in the Summer. If you lack 7 or more hours toward your degree and take them in the Summer, you can only participate in the December Commencement, however, you are still a Summer graduate.
!!NEW!! For SPRING 2022 GRADUATES AND LATER:
Only students who are registered for their final courses can apply for graduation. Graduation Clearance Sessions have been created to meet the needs of our students. If you are anticipating graduating Spring 2022, you must attend one of these sessions in order to apply for graduation. Failure to attend a Graduation Clearance Session will keep you from graduating. All sessions are VIRTUAL and conducted via Zoom.
You will fill out and sign the application for graduation at one of these sessions.
If you have taken any courses toward your degree plan at another institution they must appear on your UTEP transcript before you attend your session. If you are taking courses at another institution during your final semester, proof of enrollment in those courses must be emailed to Ms. Margaret Gutierrez (email@example.com) no later than one week prior to your session.
If you are substituting any courses on your degree plan, those substitutions must appear on your Goldmine Degree Evaluation before your session. Please contact your advisor if you need or anticipate you will need a course substitution.
If your degree requires a memo, please meet with your advisor and ensure the memo is created, submitted, and approved before your session.
At this session, you will sign your graduation application.
!!If you have not received an updated degree plan within the last year, and anticipate graduating Spring 2022, please send an email to firstname.lastname@example.org with the following subject line: Spring 2022 Graduation Degree Plan Request. Include your name, UTEP ID number, major, and if you will be taking any courses at another institution during your final semester at UTEP.
- If you are taking a course(s) at another institution your last semester, attach proof (PDF Format) in the form of an unofficial transcript that shows the course you are registered for, and ensure your name and ID number are visible. Graduation Clearance Sessions are NOT THE SAME as Senior Workshops. Senior Workshops are strictly informational where a Graduation Clearance Session is where you will sign your graduation application.
Once you have verified the above, you may register for a Graduation Clearance Session using this link. Keep an eye on your email and phone for any messages/calls from Margaret Gutierrez (email@example.com AND/OR (915) 747-8027). You will receive an email and/or a phone call if, for whatever reason, Ms. Gutierrez finds through her audit that you are unable to apply for graduation at that time. Otherwise, attend your session as planned.
Dates and Times:
November 19th, 2021: 10:00 AM (20 out of 20 seats remaining as of November 11th. Sign-ups close on November 17th at 10AM) Session Full as of November 12th!
December 3rd, 2021: 12:00 PM (50 out of 50 seats remaining as of November 12th. Sign ups close on November 29th at 12:00 PM)
December 10th, 2021: 3:00 PM (50 out of 50 seats remaining as of November 12th. Sign ups close on December 6th at 3:00 PM)
After you apply:
Once final grades are posted and your degree is audited to verify you obtained all your credits (1 to 2 months) you will receive your diploma in the mail.

If you are lacking any credits to award the degree, you will receive a certified letter to the address in Goldmine notifying you of what was missing. It will also contain instructions on what to do next.
Summer graduates lacking 7 or more hours, or who elected to participate in the Fall Commencement when they applied, will obtain their diploma in the mail before they attend Commencement in December.
Names of Summer graduates will appear in the Fall Commencement program ONLY, even if the student walks in the Spring Commencement ceremonies.
NOTE: Final transcripts will state your degree has been awarded sooner than obtaining your diploma in the mail in all cases.
