Winter Break News
Are you traveling during the Winter Break?
Residents who are leaving for an extended break must follow these guidelines:
- Dispose of all trash and perishable food throughout the apartment and refrigerator.
- Take all plants and fish home. If this is impossible, aquarium equipment may be left plugged in. The University assumes no liability for fish or plants left in the room.

- Close and lock all windows and shades throughout the apartment.
- Turn off the alarm on your clock.
- Turn all the lights off.
- Close your door and make sure the lock is secure.
Rooms will be re-inspected during the week of December 13, 2019 through December 20, 2019 to verify that the directions stated above were followed.
There is a vacant space in my apartment, will I get a new roommate?
If there are any vacant spaces in your apartment, or your roommate is moving out, your responsibility is to continue to keep the room clean and welcoming for the next person. We have designated the January 18, 2020 as move-in day for Spring 2020, but we always expect early arrivals and we will make every effort to keep you informed when your new roommate has been assigned. Failure to abide by the Residence Life Room Maintenance policy, the Residence Life staff reserves the right to clean the apartment at the expense of the residents assigned to the unit.
Common areas must remain clean though the duration of the winter break. Apartments will be checked by the RA staff between December 1st and December 10th in preparation for your new roommate’s arrival.
Will the offices be open? Can I still get my mail?
All three offices will remain open through the Winter Break and a Resident Assistant will be on call throughout the break. Only days when the University is closed, will the office be closed. For details, please visit our Winter Schedule Office Hours.
Are you graduating, studying abroad, going on an internship, or canceling your contract for other reasons?
If your plans include canceling your contract and moving out of the residence halls at the end of the Fall 2019 semester, you must fill out the Fall 2019 – Spring 2020 Contract Cancellation Request at least 4-weeks prior to your check-out date through the resident portal. There may penalties associated with you terminating your contract prior to the end of the contract term. You must also schedule an appointment with your property Coordinator to review your request. You must also schedule a check-out with your Resident Assistant prior to you moving out.
Students must move out of their apartments not later than twenty four (24) hours after their last scheduled final, or not later than twenty four (24) hours after their withdrawal from the University. Failure to complete a check-out within this time frame may result in additional fees. Please review the housing contract for more information.

Moving out? Don’t throw it out!
Bring any canned goods and other non-perishable food items to Boquillas Hall, Horizon Hall, or Summit Hall. We will be collecting food during the month of December. Items donated will be delivered to the UTEP Food Pantry.

Holiday Decorations Policy
- Flammable decorations of any kind, including live trees, are not permitted within the residence halls or apartments.
- Use of artificial trees is permitted as long as they are flame retardant.
- Decorations are not to be hung from any residence hall window, door, or ceiling.
- No more than 25% of your room or suite door may be decorated.
- Students are liable for all damages resulting from the negligent placement of holiday decorations in their room or common areas of their residence halls.
