Support Center Frequently Asked Questions

The Support Center reviews a variety of grant-related transactions to help ensure they are appropriate, allowable, and compliant with university and sponsor requirements. These include

  • expense reports,

  • non-PO vouchers,

  • purchase requisitions,

  • interdepartmental transfers,

  • eForms,

  • Student Notices of Awards,

  • Independent Contractor Authorization Forms

  • Faculty Appointment Database once each semester.

When reviewing a transaction, the Support Center primarily verifies that:

  • The expense or transaction provides a benefit to the grant.

  • There is sufficient budget available to cover the expense.

  • The expense is budgeted and charged to the appropriate expense account.

  • The transaction falls within the approved grant dates.

  • The expense or transaction is allowable under the terms and conditions of the grant.

Supporting documentation may also be reviewed to ensure the transaction is properly documented and can be approved.

Most documents received in our workflow are reviewed within five (5) business days except for Purchase Requisitions which have a two (2) business-day turnaround.

Review times may vary if additional information, documentation, corrections are needed or depending on universities peak times.

If a transaction does not meet grant or university requirements, or if additional information is needed, the Support Center may return the transaction to the department or requestor for clarification, supporting documentation, or correction. Once the necessary information or corrections are provided, the transaction can continue through the review process.

When selecting an expense account, consider the type and purpose of the expense and make sure it is budgeted under the appropriate category for the grant. The expense account should accurately reflect what is being purchased or paid for and should be consistent with the approved grant budget.

If you are unsure which expense account to use, please refer to the KK Tree available on the website (link). The KK Tree provides guidance to help identify the appropriate expense account for your transaction. If you still have questions, please contact the support center before submitting the transaction.
