Setting up your Student Ambassador for Success
If you have identified a UTEP student to serve as your organization’s ambassador, we ask that you have him/her connect with the UTEP Career Center.
The University Career Center (UCC) is the central department ( https://www.utep.edu/hoop/section-2/centralized-student-job-placement-policy.html) at UTEP responsible for overseeing employer recruitment engagements on campus. We operate in accordance with policies set forth by UTEP, the State of Texas, and The University of Texas System. We also follow guidelines provided under the National Association of Colleges and Employers (NACE) Principles for Ethical Professional Practice.
To ensure a successful experience for your Student Ambassador, please be informed of the following guidelines:
- Initial Meeting Required. A meeting with your employer and UCC staff is required to discuss your role, expectations, and engagement goals.
- Access to Opportunities. In furtherance of a supportive and productive recruitment environment, employment and internship opportunities are made available to all qualified UTEP students.
- Handshake Compliance. All job and internship listings must be posted on Handshake, UTEP’s official recruitment platform.
- Planning and Coordination. Visit the UCC at the beginning of your ambassador term to develop an engagement plan.
- Event requests must be submitted at least three (3) weeks in advance to ensure sufficient time for coordination and support.
- Use of Campus Facilities. Costs associated with venue reservations, catering, AV equipment, or other services are the responsibility of the sponsoring organization.
- Engagement Activities. To ensure reasonable access for all employers, Student Ambassadors may coordinate up to two campus events per month. Examples of approved event types include:
- Information tables or info sessions
- Participation in UCC hosted events (e.g., Career Week, and resume clinics)
- Cancellation & No-Show Policy. A minimum of 48 hours’ notice must be provided to UCC for event cancellations.
- Failure to provide notice or failure to appear (a "no-show") will result in cancellation fees, which must be paid before the organization can return to campus.
- No-shows or late cancellations will also count toward the two-event-per-month limit.
- Marketing & Promotions. Marketing materials must be submitted in a timely manner, with at least two weeks’ notice, to allow sufficient time for promotion through UCC channels.
- Event Attendance Tracking. Attendance must be recorded using a UCC-provided QR code, which will be distributed prior to each event.
Compliance Policies
Ambassadors must comply with the UT System Solicitation Policy, the UCC Employer Guidelines, and UTEP policies, including UTEP’s stance on the prohibition of alcohol at recruitment events.
