APS Process and Procedures
As of February 1st, 2024 All Authorization for Personal Services (APS) must be submitted through the Business Center Website. Please send the following information to your Admins for submission. A completed APS form includes the following:
- Completed sections:
- Personal Information
- Citizenship Status
- Type of Service
- Description of Service
- Location of Service
- Employment Status
- Nepotism Statement
- Proposed Payment
- Contractor’s signature
- Department Chair/Director’s signature
- PI’s signature (if grant funded)
- Resume/CV
- Invoice
- Travel receipts (if applicable)
Once submitted, your request will be assigned to a Business Center Specialist who will then review your request. If complete, we will forward to the Dean, ORSP (if grant funded), Payroll Office and General Accounting. When General Accounting approves, we will approve your request and include the final approved APS form with attached emails. Upon receipt, you may proceed with the Non-PO Voucher request through the Business Center website.

Student Recital Event Title format:
Student Name, type of recital, from the Studio of Dr. X
Example: John Doe, Senior Recital, from the Studio of Dr. Dena Kay Jones

$3 for UTEP Faculty, Students and Staff

Student Travel Policies and Procedures
- All Students must complete a release form prior to travel
- Faculty members accompanying students on trips must complete a travel request form
- All travel arrangements should be made through consultation with the department's administrative assistant.
- Students are responsible for abiding by the rules and regulations contained in the UTEP Handbook of Operating Procedures while they are traveling. The faculty member in charge of travel for any trip may promulgate additional rules concerning expectations of students while on the trip.
