Confidentiality & Privacy

The Center for Accommodations and Support Services (CASS) at UTEP is committed to protecting the privacy and confidentiality of all student disability records and information. We follow all applicable laws and university policies, including the Family Educational Rights and Privacy Act (FERPA) and the Americans with Disabilities Act (ADA).

What We Keep Confidential

CASS maintains all disability-related documentation and records in a secure and confidential manner. This includes:

  • Medical or psychological documentation
  • Diagnosis and evaluation reports

This information is not part of your academic transcript and is only accessible to CASS staff.

Third-Party Presence During Appointments

If a student chooses to have a parent, guardian, support person, or advocate attend their appointment with CASS, they must first complete a FERPA Consent to Release Information Form. This form gives CASS permission to discuss private information in the presence of that individual.

Students can complete a FERPA form in advance or at the time of their appointment. FERPA forms are available at the CASS office or by request.

When and What We Share

We only share information with university personnel on a need-to-know basis, and only when necessary to coordinate approved accommodations. This may include:

  • Faculty receiving a Letter of Notification, which outlines your approved accommodations—but not your diagnosis or medical information
  • Other departments (e.g., Housing, Parking) if accommodations in those areas are requested
